At the University of Iowa, we understand that many members of our community use names other than their legal names to identify themselves. A preferred name is an alternative to your legal first name that you can use within the university’s systems.

Using a preferred name allows you to be addressed in a way that feels more authentic and comfortable. This can be particularly important for individuals whose preferred name better represents their gender identity, cultural background, or personal preference. How to set your preferred name

  1. Log in to MyUI (students) or Employee Self Service (faculty and staff): Access Name and Pronouns (MyUI) or  Name and Pronouns (Employee Self Service) where you can enter your preferred first name.
  2. Enter Your Preferred Name: Follow the prompts to input your preferred first name.
  3. Tell us how we should address you in public: Choose between “Do not use my pronouns” (visible only to instructors and advisors) or “You may use my pronouns” (visible in public university systems). Save your updates by selecting “Update my public name and pronoun choices.”

Where will my preferred name appear?

  • Class Rosters: Visible to your instructors and advisors.
  • University Email: Your preferred name will accompany your email address in the address book and in to/from/cc lines.
  • ID Cards: If you opt for public use, your preferred name will be printed on the front of your university ID card, with your legal name on the back.

Important Considerations

  • Legal Documents: Your legal name will still be required for official documents such as financial aid forms, tax forms, transcripts, and health records.
  • Appropriateness: The university will not accept preferred names that are vulgar, offensive, or create confusion with another person.

What are my name options in UI systems?

Students can enter an optional preferred first name, in addition to their standard (legal) name, and can opt-in to using this name publicly in UI systems. By default, a preferred first name will only be visible to your course instructors and advisors.

Do I have to enter a preferred first name?

No.

Can I enter a preferred last name?

No. University business and systems require that your last name is your legal last name.

After I enter my preferred first name, when will it appear in university systems?

 Please allow at least one business day for university systems to refresh.

My current standard name is not my legal name. How do I change my standard name back to my legal name?

I need a new university ID card with my preferred first name.

After you have added your preferred first name (MyUI student portal), you can request a new ID card at the Iowa One Card Center, 2700 University Capitol Centre (UCC). The replacement fee for the new card will be charged to your U-Bill. Bring your old ID card, if available. Bring a photo ID with your legal name on it for verification.

Can I choose any name for my preferred first name?

No. Your preferred first name must be a name you truly use to identify yourself, and the university will not accept a preferred first name that is vulgar or offensive, obscene, fanciful, or creates confusion with another person. See the Preferred First Name Policy.
