Attendance reports, midterm grades and attendance, final grades, and grade changes are submitted within MAUI or on the MAUI in ICON screen.

MAUI Access

All MAUI users are required to complete FERPA training to gain or maintain access to MAUI.

Instructors: You'll gain MAUI access within 24 hours of being assigned to a course by your department.

Administrators: You'll need to submit a MAUI Access Request Form to gain access to grade administration dashboards.

Attendance Class List

Instructors must review each of their course lists and submit their attendance report by 5 p.m. on the appropriate Attendance Class List deadline.

Where is attendance submitted?

  • Access and submit attendance reports
  • Monitor important attendance deadlines in the Messages and Alerts section

Who should submit attendance?

Attendance reporting is strongly advised for courses that meet any of the following criteria:

  • Run for the entire academic session
  • Are off-cycle courses currently in progress and do not conclude before the attendance class list deadline
  • Include undergraduate students on the class list.

Why is attendance reporting important?

To establish federal financial aid eligibility, students must attend all registered classes at least once during the first ten days of each semester. If instructors report a student as not attending, financial aid may be canceled or reduced.

How is attendance defined?

Active participation by a student in an instructional activity related to the student’s course of study that is defined by the institution in accordance with any applicable requirements of its State or accrediting agency; and includes, but is not limited to:

  • Attending asynchronous class, lecture, recitation, or field or laboratory activity, physically or online, where there is an opportunity for interaction between the instructor and students;
  • Submitting an academic assignment;
  • Taking an assessment or an exam;
  • Participating in an interactive tutorial, webinar, or other interactive computer-assisted instruction;
  • Participating in a study group, group project, or an online discussion that is assigned by the institution;
  • Interacting with an instructor about academic matters.

The definition of academic engagement does not include activities where a student may be present, but not academically engaged, such as:

  • Living in institutional housing;
  • Participating in the school’s meal plan;
  • Travel;
  • Logging into an online class or tutorial without any further participation;
  • Participating in academic counseling or advising; or
  • Participating in a student-organized study group.

What happens when a student is reported not attending?

If an instructor marks a student as not attending and if the student remains registered for the section by the Enrollment Audit deadline, a NOT ATTENDING notice will be issued to the student.

What happens when a student does not appear on the class list?

For courses that are not off-cycle, when an instructor adds a student to a section and the student is already registered for another section of the course, a section change will be executed without sending a notice. However, if the student is not registered for the course, an ATTENDING, NOT REGISTERED notice will be dispatched to the student.

It is University policy that students may not attend a class for which they are not officially registered. Please direct students who are attending your class but whose names do not appear on the course list to the UI Service Center, 2700 University Capitol Center (UCC), or registrar@uiowa.edu, for information about requesting permission to add a course or to register after the deadline.


Midterm Grades and Attendance Report

Instructors are urged to review their course lists and submit reports by 5 p.m. on the relevant Midterm Report deadline. Midterm grades of AUU, D+, D, D-, F, N, and U are required only for undergraduate students. No midterm grade submission is necessary for students whose grades at midterm are AUS, P, S, or above D+.

  • Access and submit midterm reports
  • Stay informed about important midterm deadlines by checking the Messages and Alerts box.

Note: Class lists are updated to reflect the current enrollment status of each student when viewed. Any changes in enrollment by a student will be reflected the next time you access MAUI.

Who should submit midterm attendance and grades?

Instructors are required to report midterm grades of AUU, D+, D, D-, F, N, U, and attendance if the course:

  • Runs for the entire academic session, or
  • Is off-cycle but starts on or before the closing date set for the Midterm Report deadline.

Midterm lists are not accessible under the following circumstances:

  • The course commences after the designated midterm reporting deadline date.
  • Final grades are available for entry (or have already been submitted).

Instructors are accountable for personally notifying students who receive AUU, D+, D, D-, F, N, and U grades.

IMPORTANT NOTE: While the completion of the Midterm grade and attendance report is not mandatory, it is strongly advised, as several departments utilize this data to support student success initiatives.

Where are the final grade lists submitted?

  • Stay informed about important grade deadlines by checking the Messages and Alerts box.

Note: Class lists are updated to reflect the current enrollment status of each student when viewed. Any changes in enrollment by a student will be displayed the next time you access MAUI.

When are final grade lists submitted?

Final grades must be submitted and marked as "Approved" within seventy-two hours (excluding weekends and holidays) following the conclusion of examination week/day during fall, spring, and summer.  Winter final grades must be "Approved" within seventy-two hours (excluding weekends and holidays) following the conclusion of the session.

Final grade lists are available on the My Courses (Instructors) or Grade Administration (Instructor Delegates) pages of MAUI.

Attendance Reporting for Students Earning Non-Passing Grades

In addition to attendance reporting, please note that with final grade submission, UI faculty and instructors are required to provide a last date of attendance for any student receiving a failing grade (AUU, F, N, and U). It is critical to be accurate when listing the last date of attendance as this will impact the dollar amount of financial aid the student will be required to pay back.

Status Definitions

  • Completed Course - Student earned a non-passing grade and met academic activity criteria throughout the course.
  • Never Attended - Student earned a non-passing grade and did not meet academic activity criteria.
  • Stopped Attending - Student earned a non-passing grade and met academic activity requirements during the first 10 days of the session, but did not meet the requirement after attendance was reported.

What happens when grades are not in Approved status by the deadline?

"O" grades are assigned when a final grade is not in an “Approved” status by the final grades deadline. "O" grades indicate that grades were not reported. Please submit grade change requests right away to update students’ records. Delays in accurate grade reporting can negatively impact financial aid, academic standing, athletic requirements, and applications for various programs and scholarships.
