Beginning Fall 2017, the Office of the Registrar is moving to daily grade runs and will be removing early and supplement runs.

New Grade Run Rules

  • Open: Grades will open approximately two weeks before the final grade run.
    • Off-cycle grades will open 14 calendar days prior to the last day of the course listed on Course Offerings Planner
    • Full Semester-length courses will open 14 calendar days prior to the grade closing/deadline.
  • Close and Run:  
    • Off-cycle grades will close 10 calendar days after the course end date listed in Course Offerings Planner.  Once grades are put into "Approved" status, they will go through the next day's grade run.
    • For full semester-length courses, final grades will run 3 business days after the last day of finals week.  Grades will not go through a grade run, even if in "Approved" status, until after the 3rd business day.
  • End of Session Processing will occur once all grades for a particular student are in "Final" status
    • 'I' and 'O' grades are considered "Final"
  • Grade Runs will capture grades for courses 4 sessions prior, the current session, and one session in future. No longer session specific.

Implications -  What Does This Mean? 

  • This will assist those departments and colleges that offer year-long courses accurately depict their course structure.
  • Courses will no longer need to have a supplemental grade run to support the last day of the course as there will no longer be Early and Supplemental Grade Runs.

Department and College Action Items 

  • Review Course Offerings in Offerings Planner.  Check to ensure: 
    • Start and End Dates are listed correctly for off-cycle courses
    • Those courses listed as full session courses should not be listed as off-cycle.
    • Course work completed outside of the physical meeting time is accounted for within the offering.
    • As always, please review your grading instructions (daily grade runs should not impact your grading instructions, but it is always a good idea to ensure your grading instructions are accurate and up-to-date). Special Grading instructions can be added/updated through the Course Library. 

Offering Planner Adjustments for New Grade Run Changes

Courses must still have a "foot"/day in the session in which they are being offered.

If a course has an assignment due before or after the physical meeting time of the course, the department will need to extend the Override Start and/or End Date to accommodate the assignment.   Please follow the directions below to make this adjustment.  We will allow departments to make changes ONLY to their Override Start and End Dates for Fall 2017 after August 1st.  Past policy and rules still apply to other Offering Planner changes.

Example/Model:

If a course has a physical meeting time of 11/17/2017 to 12/16/2017, but they have an assignment that due on 12/30/2017.

The following steps should be completed:

  • Session Override Start and End Dates should be changed from 11/17/2017-12/16/2017 to 11/17/2017- 12/30/2017
  • The physical meeting pattern should be indicated within the time/location field.
  • An ARR/ARR line should be added for the assignment, along with an explanation within Registration Information, in the Registration field, indicating the extended time.
