The primary source for all textbooks and resource listings is the Iowa Hawk Shop and University Bookstore. Orders may also be placed at local bookstores. However, these textbooks and resources will not be shown in MAUI or MyUI. Instead, utilize the course syllabus to provide the information.

Orders placed only with local bookstores will not meet HEOA compliance.

Best Practices

  • If you place orders with a local bookstore you must also place the same order with the Iowa Hawk Shop and University Bookstore.
  • Do not place textbook/resource information in the MyUI Courses or MyUI Sections areas in MAUI. Textbook/resource information added in these areas may be deleted by the Office of the Registrar.
  • Please do not use the other resources and additional information area to enter ISBN information or book titles. Instead, please order the items through the bookstore(s).
  • Please do not list other bookstores (local or online) in the other resources and additional information field. Instead, utilize the course syllabus to provide the information.

Follett Discover Ordering Procedures

Follett Discover is the Iowa Hawk Shop/University Bookstore's preferred method to receive textbook and resource orders from departmental administrators and instructors.

When ordering via email or in person, please be prepared to provide the following information.

  • ISBN, title, and author.
  • Department, course, and section number.
  • If the book is recommended or required.
Follett Discover Frequently Asked Questions
My department has a designated person to request adoptions. How do they see all the courses?

Please contact Helen Hansen for concierge access for the individual.

Why do you need adoptions so early?

For us to obtain the books for the students, we need plenty of time to locate the books and find as many used copies as possible. The sooner we start looking, the more used copies we will find. If a book is a custom book, package, or older edition, we need to have plenty of time to get the books ordered and into the store.  

My course is not listed. What do I need to do?

The bookstore receives imports from the University of Iowa into our system. If you do not see your course, we have not received the information to connect you to the course. Please contact Helen Hansen if you do not see your course. 

What if my order is wrong or I need to make a change in the system?

You can go in and make changes in the system. If you are unable to enter the information, please contact Helen Hansen for assistance. 

How long does it take for the bookstore to approve my order?

We usually receive the order within an hour of you placing it. Depending on timing and scheduling, it may take a little bit of time to process the order. File uploads from the University Bookstore to MAUI occur each night. If you have waited more than two working days (Monday–Friday), please contact Helen Hansen to see if the order is in process.

There is an e-book showing in my course. I did not request an e-book, so why is it there?

The Follett system automatically adds e-books to match the textbook. Most students have used eBooks in high school and prefer the e-book version. If you do not want the e-book listed in your course, contact Helen Hansen to have it removed.

What if I don't need a book?

There is a box to check under the course with the verbiage "I have no materials to adopt for this course."

Open Educational Resources (OER) are teaching, learning, and research resources that are free of cost and access barriers, and which also carry legal permission for open use. Generally, this permission is granted by use of an open license (for example, Creative Commons licenses).

What is a Course Pack?

Course packs are the custom educational materials that many faculty members publish to supplement or replace textbooks. They contain combinations of original manuscripts, published journal articles, book excerpts, photographs, or illustrations. UI Printing will work with you to order course packs. Course packs will be processed through Follett and the information will flow to MAUI.

How Textbook/Resource Information Flows to MAUI and MyUI

From Resource Order to MAUI to MyUI

Step 1: Place textbook and resource orders via an approved source AND a preferred bookstore (optional) by early registration.

When placing the order with the bookstore, please indicate the following items.

  • Title
  • Author
  • ISBN number
  • Publisher and copyright year
  • Purchasing option (required, recommended, optional)
    • Please be aware that the purchasing option is not able to be updated in MAUI. This information should be provided to the bookstore at the time the order is placed.

Step 2: Your order placed through an approved source will be automatically be uploaded to MAUI. 

Departments do not need to enter textbook information manually into MAUI/MyUI.

Files from approved textbook/resource sources will be uploaded daily and will display on MyUI the following day. ISBA College of Law Bookstore orders will only be uploaded as data files are received from the bookstore. Please allow one to two business days for textbook/resource information to display on MyUI.

Departments who wish to place orders from local bookstores in addition to Iowa Hawk Shop and University Bookstore may continue to do so. Bookstore information will not display on MyUI and information about resources from local bookstores should be placed in the course syllabus.

More Upload Information

  • The data file will only assign textbook information to the course section on the file.
  • Example: If the data file lists section 000A, then textbook information will only show for 000A in Offerings Planner.
  • Related sections (discussion or lab) will not be checked for compliance. 
  • The bookstore will list all lectures and stand-alone sections separately in the data file.

Important Information

  • All textbook line items will appear in MAUI/MyUI by default.
  • Textbook data will not be overlaid as new data files arrive. If new textbook line items are added, the textbook will be added to the preexisting list.
  • Any information entered in MAUI under other resources or returned from one of the bookstores above will be delivered to the Iowa Hawk Shop and University Bookstore through a data exchange process. 
  • If departments or instructors need to make an edit to a textbook, contact the bookstore directly so they can provide us with a new file as no edits can be facilitated on the MAUI screen.

Textbook Order Needed?

  • If the answer is YES:
    • Is the textbook order ready to be placed?
      • If the answer is YES:
        • Place order with any/all preferred bookstores.
      • If the answer is NO:
        • Indicate extenuating circumstance in the textbook panel: instructor not assigned, course under development, materials not available. Place the order when ready. 
  • If the answer is NO:
    • Will other resources (equipment, course packet, etc.) be needed?
      • If the answer is YES:
        • Click create new non-textbook resources and enter resource/materials information. 
      • If the answer is NO:
        • In Follett Discover, indicate no materials to adopt on the course card or in MAUI check no textbook or other resources required within the textbook panel in Course Offerings.

Ordering from Iowa Hawk Shop/University Bookstore or ISBA Law Bookstore?

  • If the answer is YES:
    • Place your order directly with Iowa Hawk Shop and University Bookstore via Follett Discover or ISBA Law Bookstore.
      • Iowa Hawk Shop and University Bookstore will upload a file to MAUI daily with new textbook information.
      • ISBA Law Bookstore will periodically upload their files to MAUI with new textbook information.
      • Textbooks/resources ordered from other bookstores will not be reflected in MAUI/MyUI and should be listed in the course syllabus. (Orders placed prior to April 13, 2021, will remain in MAUI/MyUI)
  • If the answer is NO:
    • All resources with an ISBN should be ordered through the Iowa Hawk Shop and University Bookstore. Please utilize the course syllabus to provide information regarding textbooks/resources available from other bookstores. 

More HEOA Compliance Options

In addition to the above-listed ordering options, course sections can also achieve HEOA compliance through the following processes.

No Textbooks Required/No Materials to Adopt

List No Materials to Adopt in Follett Discover

Using Follett Discover, courses listed with no materials to adopt will update in MAUI to show no textbooks required, and the course section will be in HEOA compliance.

Going forward, we recommend providing no materials to adopt information to the bookstore instead of entering it into MAUI as  no textbooks required. Information will flow from Follett to MAUI, but not from MAUI to Follett. Since the Iowa Hawk Shop and University Bookstore now tracks textbook/resource compliance, it is most efficient to provide the information at the time the order is placed. 

List No Textbook Required in MAUI

If a textbook order comes in after no textbook required is indicated, the textbook information will overlay the previous entry and will not require the departmental administrator to make any changes in MAUI.

Extenuating Circumstances

What are Extenuating Circumstances with Regard to Textbooks/Resources?

If there is an extenuating circumstance which prevents textbooks from being entered, an extenuating circumstance should be indicated in MAUI. 

Action needs to be taken by a departmental administrator to indicate in MAUI that there are extenuating circumstances for the course section. Instructors do not have access to make these changes in MAUI.

Entering Extenuating Circumstances in MAUI

There are three extenuating circumstances a department can indicate in MAUI.

  • Instructor not assigned
  • Course under development
  • Materials not available

Listing an extenuating circumstance puts a course section in temporary compliance. It is expected that the department either order textbooks/resources or update the textbook status in MAUI to no textbooks required at least four weeks prior to the start of a semester. 

If a textbook order comes in after extenuating circumstance is indicated, the textbook information will overlay the previous entry and will not require the departmental administrator to make any changes in MAUI.

Listing Other Resources and Additional Information

Other Resources/Additional Information Best Practices

Departments have the option to indicate other resources and additional information on the textbooks and resources panel. This can be done independent of, or in addition to ordering textbooks. 

Examples of other resources and materials could include things like course packs, special equipment needed, or could include a note such as textbook and resource information will be provided in the course syllabus.

Please DO NOT use the other resources and materials field to enter ISBN information. Instead, please order the items through the bookstore(s).

Please DO NOT list other bookstores (brick and mortar or online) in this field. Instead, utilize the course syllabus to provide the information.

Process for Ordering From Multiple Bookstores

All textbooks and resources should be ordered through the Iowa Hawk Shop and University Bookstore, ICON Direct, or the ISBA Law Library. If you wish to have books available from more than one local book store, please contact each business individually to place orders. Files from local bookstores will continue to be uploaded if provided. Orders placed with other bookstores will not display on MAUI/MyUI and should be indicated in the course syllabus.

All textbook line items will appear in MAUI/MyUI. Administrators can indicate if items are required, recommended, or optional.

How Textbooks/Resources Display in MyUI

The Iowa Hawk Shop and University Bookstore, in order to provide resources for student veterans and students receiving financial aid, will acquire information about textbooks placed in the Other Resources area. 

Textbooks not displaying as expected?

First, check the textbooks and resources panel in MAUI. If the textbooks are listed, confirm that the display on MyUI field is set to display. If it is not, make the necessary updates.

Other Resources and Additional Information

The other resources and additional information field is primarily intended as a location to enter details about course packs, equipment, and other non-textbook items.  

No Bookstore Preference

If the instructor/department has no preference regarding which book store is listed, we recommend the following.

Please place the order with the Iowa Hawk Shop and University Bookstore. Book details, including ISBN, will populate MAUI/MyUI via data exchange. The Iowa Hawk Shop and University Bookstore provides a cost-comparison on their website so students can determine where they prefer to purchase their books. Placing the order with the Iowa Hawk Shop and University Bookstore also meets the needs of student veterans and students who utilize financial aid to purchase textbooks. 

The alternative is to utilize the enter new non-textbook area in the textbooks and resources panel. 

Please be advised: If ISBN information is entered in this area, the Iowa Hawk Shop and University Bookstore will acquire the information as a part of the data exchange and will order the textbooks.

Courses not Requiring Textbooks and Extenuating Circumstances

If a course or section of a course does not require textbooks, action needs to be taken by a departmental administrator to indicate in MAUI that there are no required textbooks. Instructors do not have access to make these changes in MAUI. Likewise, if there is an extenuating circumstance that prevents textbooks from being entered, an extenuating circumstance should be indicated. In both cases, the no textbook required and extenuating circumstance selections can be copied to all sections of a course, if desired.

If a textbook order comes in after no textbook required or extenuating circumstance is indicated, the textbook information will overlay the previous entry and will not require the departmental administrator to make any changes in MAUI.

0IND (Independent Study) courses are excluded from having to enter no textbooks required.

Textbooks: Required, Preferred, and Optional

When placing textbook orders, please let the bookstore know if the textbook is required, recommended, or optional for student purchase. These purchasing options are provided to give students a better explanation of what is truly needed for the course. All textbooks will be listed as required by default if not otherwise specified by the department. 

Purchasing Options

Required
  • Indicates the textbooks are essential for success in the section.
  • All textbooks will be listed as required" by default when loaded from the bookstores into MAUI.
Recommended
  • Indicates a textbook is additional reading material, should a student wish to gain a deeper understanding of the course. 
  • Needs to be selected as recommended in Offerings Planner.
Optional
  • Indicates that a student must select one or more of the optional books listed.
  • Needs to be selected as optional in Offerings Planner. 
  • If there are multiple textbooks listed as optional, we recommend adding supporting text in the create new non-textbook resource panel to guide the students. 

Reminder Emails to Instructors and Administrators

The Office of the Registrar periodically sends reminder emails each session regarding textbooks/resources. The emails sent to administrators and instructors are similar but not identical.

To NOT receive these emails:

  • Place an order with a preferred bookstore.
  • List other resource.
  • Indicate extenuating circumstances.
  • Indicate no rextbook required.
  • The course is an independent study course.

If you or your departmental administrator have placed a textbook or resource order with the bookstore for these courses and feel that this message was sent in error, please contact the bookstore.

Some departments utilize administrative staff to collect and place textbook orders for instructors. Others ask instructors to place their own orders. Those decisions continue to be made by the department and are not impacted by textbook and resource enhancements in MAUI/MyUI. As the result of an electronic data upload process, we encourage you or your departmental administrator to work with the Iowa Hawk Shop and University Bookstore, Iowa Book, Prairie Lights, or the ISBA Law Bookstore to place orders.

Compliance Guidelines

The Higher Education Opportunity Act (HEOA) requires that book titles, ISBN numbers, and prices of required and recommended books and other materials for any course are included on the institution's electronic schedule of courses in time for student registration.

The Office of the Provost encourages instructors to place their textbook order by Early Registration with either ICON Direct, Iowa Hawk Shop and University Bookstore, or the ISBA Law Bookstore as the result of an electronic data upload process. When the departmental representative places an order with the chosen location, a data feed of required textbook details, including the ISBN, will be returned by direct feed into MAUI Offerings Planner. Once the data feed has been returned to MAUI, a departmental representative will be able to choose if the textbook is required, recommended, or optional.

All textbook and resource orders should be finalized in MAUI by Early Registration, but no later than four weeks prior to the start of the semester in which the textbook is to be used by students. If textbook or resource orders cannot be placed by this time, departmental representatives now have the option to indicate their extenuating circumstances in MAUI. These options include: instructor not assigned, course under development, or materials not available. Textbook information is only required for lecture and stand-alone sections. Textbook information is not required for related sections such as lab, discussion, lab/discussion, or independent study.
