All ABW Level 1 classrooms will be unlocked 24 /7

If an event request is submitted to our office that requires use of one or more of our Level 1 classrooms  PLUS departmental space, Betsey's asked that we send the customer directly to her.  She will then check the availability of their space (on Outlook or spreadsheet) to determine space availability.  Apparently, it is fairly commonplace for users to want both a classroom and atrium area.  Obviously, we will have no idea if the atrium area is free so she’s graciously offered to coordinate the entire event for us if this situation arises, start to finish.   Since the School of Art will be on Astra for scheduling of the Level 1 classrooms, we will be able to view any activity she schedules. 

There are a few a/v closets inside of our Level 1 classrooms:  116 ABW, 240 ABW, and E125 VAB (in closet outside of room).  If access is required by our user, please inform the customer to make contact with Betsey Kosier to obtain the booth key and appropriate technology training.  I believe this will be a rarity as most all general use technology will be availability to the instructor at room front in the podia.

This room has been noted as a “Permission Required” classroom in Astra Schedule.  In the TIER transitional meeting with Belin Blank on 5/17/17 for Classroom Utilization Initiative, the hours to 5th floor are M-F, 8:00a-5:00 pm. No access to this space by Classroom Scheduling after that point due to open records and no receptionist on duty.  The records prevent us from openly scheduling this classroom beyond the specified time frames and also makes the selection of the classes assigned to this space a bit challenging. 

 

Classroom Scheduling will not schedule events or section offerings in 540 BHC after 5:00 pm or crossing through the 5:00 pm hour.  Any request for use of space via email or course offering workflow will be sent to Alissa Doobay for approval [confirmed in email dated 5/4/18] after 5:00 pm.  

 

If Alissa (or other Belin Blank staff) is contacted directly for use of 540 BHC by phone or email for a course offering, please communicate to the requester that a course offering workflow should be completed to confirm use of 540 BHC in MAUI.  Further, it would be ideal that the approving Belin Blank staff recommend to the user to place an approval statement “approved by Alissa or XX” on the course offering workflow in the Room Preference or Reason for Change fields so that Classroom Scheduling knows agreement has been reached and Classroom Scheduling can grant approval to the workflow slip.  Otherwise, Classroom Scheduling will confirm with Alissa that approval was indeed arranged. 

 

Belin Blank staff will have approved any use after the 5:00 pm hour.  Consequently, Belin Blank staff will coordinate any access to include the elevator, if necessary. 

 

Summer event scheduling can be approved by Ashlee Van Fleet at ashlee-vanfleet@uiowa.edu.  Please note, use of 540 BHC is very similar to the 1st and 2nd floors of BHC.  Classroom Scheduling will revert oversight of this classroom to Belin Blank as all other UCRs in BHC during the summer session.  A red room block will be added to 540 BHC.

 

Please confirm any schedule of courses classroom assignment with Alissa Doobay at alissa-doobay@uiowa.edu.  She would like to see graduate level psychology sections from the College of Education make more use of this space because the students are used to being in a more restricted, clinical environment than a typical undergraduate course offering might be.  Currently, Rachel Williams and Clare Bladus use this space on occasion for section offerings.

College of Nursing Building (CNB)

With the exception of rooms 30 and 34, Classroom Scheduling will not be utilizing the CNB classrooms for alternate sections/special event campus use through construction completion of Summer 2019.  Classroom Scheduling will resume regular scheduling in Fall 2019 that is based on the College of Nursing receiving initial scheduling priority as part of Level 1 policy.  Meaning, the college will receive initial preference of all Level 1 CNB classrooms.  After all NURS sections are satisfied during initial schedule and there are time slots left available, Classroom Scheduling will utilize those class times to support other disciplines, if needed.  We recognize the need for the college to use the lower level of the building to support the construction phase of Level 3 University Classrooms.  Additionally, we are in agreement that rooms 307, 309, 331 and 337 are included in this priority use through completion of Summer 2019. 

The management of the day-to-day operations of the University Classrooms, specifically the AMAG coordination, will need to run though Classroom Scheduling TO SUPPORT NURSING since these classroom doors have been identified as University Classrooms within the access groups in Facilities Management Access Services. 

Rooms 30 and 34: In spring 2019 only, Classroom Scheduling will aid in classroom assignments within the two FLEX classrooms, 30 & 34, by allowing ANY College of Nursing instructor use of the classrooms (non-Nursing instructors are still required to attend TILE Essentials to use these two classrooms).  This agreement was reached due to the understanding that during Spring 2019 all third floor classrooms will be unavailable for their use due to the remodel.  When the rest of the classrooms are back on line for Fall 2019, all regular TILE training requirements will be implemented meaning all instructors, Nursing or not, are required to attend some sort of TILE training to be allowed use of the classrooms. 

3rd floor classrooms are unlocked via brass key every morning around 7:30am and the custodial staff locks when done cleaning in evening. For AMAG Building and Classroom Hours, see Building Hours and Exceptions

Note:  This room only - is also scheduled by Chuck Thomas of Recreation Services via Ad Astra.  He schedules this classroom on rare occasion, outside of academic demand.  Chuck has VIEW rights to all other Level 1 Classrooms and HHP Field House spaces on Astra Schedule.  Our main point of contact remains the Department of Health and Human Physiology.

Due to the single point of entry into FH, instructors may have difficulty in accessing the 2, 3, and 4th floors of the building if they do not have a membership to the FH.  Students are granted rights to the building through their tuition and fees.  At the beginning of each session as part of prep work, a list of instructors names are sent to Chuck Thomas for programming access to the entrance systems.  It would be good practice to be sure any outside Recreation Services user has the appropriate access or coordinates with Chuck prior to their event/class.

There were originally 24 KI tablet arm chairs in the room, but capacity was lowered to 14 for better arrangements. *The rooms are locked during the academic year.  A key checkout process exists at the main reception desk with Kathy Reeves or with Jenny Hall at departmental office.  The reception desk is staffed during the open building hours and keys can be provided at that time.  Classroom Scheduling will need to communicate the need for keys for each event or section placed in a VOX Level 1 classroom.  All users will need their Iowa One Card for the checkout process.  The ID card is scanned at the reception desk at key checkout.

General premise of scheduling in VOX:  The student /faculty music workflow requests (internal form) continues to route to the School of Music schedulers for review and single event entry into Astra.  Classroom Scheduling prefers all School of Music faculty, staff and student events be reviewed and processed by Music’s staff.  Since we will be sharing the room and the schedule to each of these three Level 1 classrooms, we’ll be able to see what the School of Music has scheduled and what times may be left for us to schedule for an “outside” of Music campus user. 

Custodial is provided to the building 7 days per week

No food and drink are allowed in VOX classrooms

Due to priority scheduling of the Level 1 classrooms of choral rehearsals, use of these rooms will be limited.  Space will be committed by the School of Music by the 3rd week of the session which eliminates the possibility of using a Level 1 classroom for a section offering.  Consideration for event scheduling is possible but the School of Music places time limits on use of the rooms for students to a 2 hour limit and must have multiple users at one time.
